Client requirement analysis

That is why, we gather client requirements including the specialties covered, desired turnaround times, types of files and formats required and the reports to be generated on a regular basis.

Receive, download and allocate

We receive scanned copies of patient charts and related clinical information from our clients through our secure FTP site. Our coding team then downloads these files and allocates them to the respective coders for review.

Review

Our coders review the patient charts to ensure that adequate details about treatments and diagnoses are included. During this stage of the coding process, our coders will analyze and interpret data from a wide range of sources such as, clinical notes, laboratory results, and radiology reports, in order to identify all services and procedures provided during the patient encounter.

Clarify

As a next step our medical coders will connect with healthcare providers to discuss any missing details or inconsistencies. This helps to clarify any aspects of the clinical notes and patient records that are unclear in order to ensure accurate coding.

Assign

Using a standardized coding system, such as ICD-10 or CPT, our experienced coders assign codes to the diagnoses, procedures, and services provided during the patient encounter. They also make sure that the codes assigned are accurate and in accordance with coding guidelines and policies.

Quality check

We perform a multi-level quality check to spot and eliminate errors and improve specificity. Our QA team double-checks the quality of the coded charts to ensure that the assigned codes accurately reflect the services provided and comply with all coding regulations and guidelines.

Create bill

Once the coded charts are quality checked, our medical billing team creates claims while adhering to rules that are specific to payers and locations.

Audit claims

All claims are put through a rigorous, multilevel quality check process. Claims audit ensures completeness and accuracy of information, compliance with the latest industry standards and that the right diagnosis and procedure codes have been assigned.

Transmit and submit claims

The claims are sent to the transmission department along with all necessary information and supporting documents for a final check. The claims are then printed and sent out to the respective insurance providers for final settlement.
